Wealth Administrator

We are looking to recruit an experienced Wealth Administrator to work at our office in Berwick upon Tweed.

Job Type: Full time, 37 hours per week. Permanent

We will consider full and part-time applicants/job shares for this role.

Are you an experienced and proactive Wealth Administrator with a strong background in financial services? We’re looking for someone to join our growing team and play a key role in delivering high-quality support to advisers, paraplanners, and clients.

In this role, you’ll act as a reliable point of contact for technical and operational queries, help drive efficiency in our processes, and support the ongoing development of both colleagues and the wider team. You’ll be confident managing your own workload while contributing to a collaborative, client-focused environment.

Key Responsibilities

  • Provide accurate and timely administrative support to advisers and paraplanners, ensuring work meets internal and regulatory standards.
  • Take ownership of your own workload, supporting the wider team to meet service expectations and deadlines.
  • Act as a go-to person for process and system queries, sharing knowledge to promote consistency and best practice.
  • Assist with quality control checks and contribute to maintaining high standards across documentation and communications.
  • Support the onboarding and informal training of new team members.
  • Liaise with colleagues across paraplanning, compliance, and product providers to resolve issues and facilitate smooth case progression.
  • Identify and escalate risks, process gaps, or client concerns in line with procedures.
  • Participate in improvement initiatives and projects that enhance client service and operational efficiency.
  • Maintain accurate CPD and complete timesheets in accordance with company policy.

About You

  • Experience: Significant experience in a client support or operations role within a financial planning or wealth management firm is essential.
  • Knowledge: Understanding of the advice process, compliance (e.g., FCA/COBS), and the documentation lifecycle.
  • Systems: Confident using CRM/back-office systems such as Xplan, and liaising with financial platforms/providers.
  • Skills:
    • Exceptional attention to detail and accuracy
    • Strong organisational and time-management skills
    • Clear communicator, both written and verbal
    • Confident working independently and collaboratively
  • Mindset: A proactive approach with a willingness to contribute to ongoing improvement and team development.
  • Desirable: Level 3 Certificate in Regulated Financial Services Operations or equivalent or progression toward.

  • Your salary is competitive with an annual review
